Brand Settings
Owners and admins use the Settings tab to pick status colors, manage review alerts, Quality Gate checks and members. Owners can also archive or delete the brand.
The Settings tab holds the brand-wide settings that owners and admins manage. Open it from your brand’s Settings tab, in the row of tabs at the top of any brand page.
Only the brand’s owners and admins see this tab. From top to bottom it has:
- Status Colors: the colors of status labels like Draft and Approved.
- Review Alerts: email digests of content waiting for review.
- Quality Gate Checks: how strict each automatic check is.
- Members and Invitations History: who’s in the brand.
- Danger Zone: archive or delete the brand (owner only).
Status Colors
Status Colors (“Customize status label colors”) sets the color of each content status across the brand. Everyone in the brand sees the same colors.
The statuses are Draft, Edit, In Progress, Review, Approved, Published and Archived.
- Open the brand’s Settings tab.
- Under Status Colors, click the color square next to a status.
- Pick a color.
The change saves a moment after you pick the color. There’s no Save button.
The colors are used for:
- Status labels on design cards in Create.
- Status dots on idea cards and status options in idea fields.
- Designs on your calendar.
Example: a team wants anything needing attention to stand out. They make Review bright orange and Approved green, so on the Ideas board they can spot what’s waiting at a glance.
These aren’t the same as the Status colors in your Visual Identity, which are for your designs (like a red “Sold out” badge). See Visual Identity.
Review Alerts
Review Alerts turns on a Daily or Weekly email for each member listing the content waiting for their review. Turn on the toggle next to a member and pick a Frequency. See Review Alerts digest emails.
Quality Gate Checks
Quality Gate Checks sets each automatic check to Fail, Warning or Exclude for this brand. See Choosing how strict each check is.
Members and invitations
Members lists everyone in the brand with their role. Owners and admins click Invite to add someone, and turn default approver settings on or off for each member. Invitations History shows every invitation sent and whether it’s Pending, Accepted, Declined or Expired.
See Inviting Your Team and Team Roles and Permissions.
Danger Zone: archive or delete a brand
The Danger Zone is at the bottom of the Settings tab. Only the brand’s owner sees it, and only the owner can archive or delete the brand. Admins and members can’t, even if they try another way.
| Archive Brand | Delete Brand | |
|---|---|---|
| Brand list | Hidden from the brand switcher; marked Archived on the Brands page | Removed for everyone in the brand |
| Your content | Kept | Designs, transcripts, ideas and files are deleted |
| Plan and add-on packs | Cancelled right away | Cancelled right away |
| Can you undo it? | Yes, the owner can unarchive it | No |
Both actions cancel the brand’s plan and any add-on packs first. If Orsa can’t cancel them in Stripe, you’ll see “Could not cancel this brand’s billing. Please try again or contact support.” and nothing changes.
Archive a brand
Archive a brand you’re not using, like a client you’ve stopped working with, when you want to stop paying for it but keep its content.
- Open the brand’s Settings tab.
- Scroll to Danger Zone.
- Click Archive Brand.
- Click Archive to confirm. You’ll see “Brand archived”.
What happens:
- The brand disappears from the brand switcher for you and everyone in it. It stays on the Brands page with an Archived badge.
- The brand’s paid plan and any add-on packs are cancelled right away, not at the end of the billing period.
- Its content is kept. Nothing is deleted.
- Orsa stops bringing in new posts for the brand’s channels and Discover accounts.
To bring it back, open the brand from the Brands page, go to its Settings tab and click Unarchive Brand, then Unarchive. If the brand was on a paid plan, a Restart paid plan box shows the plan, billing cycle and price (including any extra Teams seats). Click Unarchive and pay to start a new subscription on the saved payment method, or Cancel to leave the brand archived. Add-on packs aren’t restored; buy them again if you need them.
Delete a brand
Deleting a brand is permanent. Use it only when you’re sure you’ll never need the brand or its content again.
- Open the brand’s Settings tab.
- Scroll to Danger Zone.
- Click Delete Brand.
- Read the warning “This action cannot be undone!” and click Delete Permanently.
You’re taken to the Brands page.
What happens:
- The brand is removed for you and everyone in it.
- Its designs, transcripts, idea groups and ideas, and files are deleted.
- The brand’s plan and any add-on packs are cancelled right away.
- It can’t be undone. There’s no way to get the brand or its content back.
Example: a freelancer’s contract with Harbor Books ended a year ago and the client has all their files. The freelancer deletes the brand so it stops appearing anywhere.
Download anything you want to keep first, like designs you might reuse. See Exporting Designs.
Ideas for using brand settings
Make statuses match your team’s habits. Pick colors that mean something to everyone.
Example: an agency uses red for Edit (needs changes), yellow for Review and green for Approved, so the Create page reads like a traffic light.
Wind down a client cleanly. When a client leaves, archive the brand to stop its plan and add-on packs while keeping the work.
Tips for the best results
- Pick colors that stand apart. Similar shades for Review and Approved make cards hard to tell apart.
- Prefer archive over delete unless you’re sure. Deleting removes content for your whole team, with no way back.
- Hand over before you leave. If someone else should keep running the brand, transfer ownership instead of deleting it. See Transfer ownership.
Common questions
I don’t see the Settings tab. Only the brand’s owners and admins see it. Ask an owner or admin, or check your role next to the brand name at the top of the page.
I see Settings but no Danger Zone. Only the brand’s owner can archive or delete it. Admins see everything else on the tab.
I get “Could not cancel this brand’s billing”. Archiving and deleting cancel the brand’s billing in Stripe first. If that fails, nothing changes. Try again in a moment, or contact support if it keeps happening.
How do I get an archived brand back? Open it from the Brands page (it has an Archived badge), go to Settings and click Unarchive Brand. Its content is all still there.
Will I get a refund when I archive or delete a brand? The plan is cancelled right away. For billing questions, check your invoices under Manage plan & billing. See Plans and Billing.
Does archiving or deleting a brand affect my other brands? No. Each brand has its own plan and content. Only this brand is affected.
Can I get a deleted brand back? No. Deleting is permanent.
I changed a status color but my teammate still sees the old one. Ask them to reload the page.
Are status colors the same as the Status colors in my Visual Identity? No. Settings > Status Colors colors your workflow labels like Review. The Visual Identity ones are for status badges in your designs.
