Searching in Orsa
Use Search everything on Home to find designs, scripts, ideas, documents and emails by name, or by meaning with Smart search.
Search everything… on Home finds your content across all your brands in one place: designs, AI Designs, transcripts, content ideas, documents, blog posts and marketing emails.
It has two modes:
- Regular search finds content by its name, as you type.
- Smart search finds content by what it’s about, even if you don’t remember the name.
Quick start (5 minutes)
- Open Home.
- Click Search everything… at the top right.
- Type part of a name, like summer sale.
- Results appear after a moment, grouped by type.
- Click a result. It opens in a new tab.
Example: you’re looking for last month’s “Holiday Hours” story. Type holiday and it shows up under Designs.
Search by name
- Click Search everything… on Home.
- Type a word or part of a name. Results show up by themselves a moment after you stop typing.
- Click a result to open it in a new tab.
What regular search looks at:
| Type | Searches |
|---|---|
| Designs | The design name |
| AI Designs | The request description |
| Transcripts | The transcript title |
| Content Ideas | The idea’s title and description |
| Documents (including blog posts) | The title |
| Marketing Emails | The subject line |
Results are grouped under Designs, AI Designs, Transcripts, Content Ideas, Documents and Marketing Emails. Blog posts show under Documents. You get up to five results per group, newest first. If nothing matches, you’ll see No results found.
Example: a gym types open house. They see an idea titled “Open house weekend”, a design “Open House Flyer” and an email with the subject line “Join us for our open house”.
Smart search
Smart search finds content by meaning. It looks at the words inside your content: the text on your designs, the script of your transcripts, your ideas, the body of your documents and the body of your emails.
- Click Smart inside the search box. The box gets a colored outline and the placeholder changes to Try ‘me talking about cookies’….
- Describe what you’re looking for in your own words.
- Press Enter, or click the magnifying glass. Smart search doesn’t run while you type.
- The results show a Smart Search label.
- Click Smart again to go back to regular search.
Example: you remember a video script where the owner talks about how the sourdough starter is fed every morning, but not its title. Turn on Smart, type feeding the sourdough starter and press Enter. The transcript shows up under Transcripts.
Good to know:
- New and edited content can take a few hours, sometimes up to a day, to show up in Smart search. Regular search finds it straight away.
- AI Designs are still matched by the words in their description, even with Smart on.
- Ideas with a very short title and no description aren’t included in Smart search. Use regular search for those.
- You get up to five results per group, closest match first. Designs also match on their caption.
Search one brand or all brands
Search uses the brand filter at the top of Home.
- All brands searches every brand you’re a member of.
- Pick a brand to search only that brand.
If you change the brand filter after searching, the search runs again for the new brand by itself.
The person filter on Home doesn’t affect search. You’ll find content whoever made it.
Clear a search
Click the x in the search box to clear it. To just hide the results, click anywhere outside them or press Esc; click back into the search box to see them again.
What Home search doesn’t cover
Search everything… doesn’t look in:
- Your brand’s files in Assets
- Boards
- Tasks
- Posts in Discover
- Orsa AI conversations
Some of these have their own search, below.
Search in other parts of the app
Several pages have their own search box, with the same Smart button:
- Create page: searches the tab you’re on, like Designs or Marketing Email. See Searching on the Create page.
- Ideas board: Search ideas… finds ideas by title and description, or by meaning. See Find ideas with search and Smart search.
- Discover Feed: Search posts… searches the posts in your feed. See The Discover Feed.
- Swipe File: Search notes and tags… searches your saved items. See Swipe File.
- Brand Assets: searches your brand’s uploaded files. See Assets Library.
Ideas for using search
Find something without remembering where it lives. Home search covers every content type at once, so you don’t need to know if it was a design or a document.
Example: a client asks for “that post about our new patio”. Type patio on Home and check Designs and Documents together.
Reuse old work. Before writing something new, check if you already have it.
Example: before scripting a new “How we roast our beans” video, a coffee roaster turns on Smart and searches roasting process. An older transcript on the same topic comes up, so they start from that.
Check one client’s content. Agencies can pick a client in the brand filter and search only that brand.
Tips for the best results
- Name your content. Regular search only looks at names and titles. “Untitled Design” is hard to find.
- Use Smart search for topics, regular search for names. Smart is best when you remember what something says, not what it’s called.
- Describe it like you’d tell a teammate. Owner explaining our return policy works better in Smart search than a single word.
- Give ideas a description. It makes them easier to find in both modes.
- Try regular search if something is brand new. Smart search can take a few hours to catch up.
Common questions
I can’t find something I just made. If you’re using Smart, new content can take a few hours to appear. Turn Smart off and search by its name. Also check the brand filter on Home.
Smart search doesn’t do anything while I type. That’s expected. Press Enter or click the magnifying glass to run it.
I only see five results for a type. Search shows up to five per type (newest first, or closest match first in Smart search). Add more words to narrow it down, or use the search on the Create page or the Ideas board.
My blog post shows under Documents. That’s expected. Blog posts and documents are listed together under Documents. Clicking a blog post opens the blog editor.
The results won’t go away. Click outside them, press Esc, or click the x in the search box.
Can I search files, boards or tasks from Home? Not from Home. Search files on your brand’s Assets tab. Boards and tasks aren’t included in Home search.
