Sharing with Share Links
Share a design, document, transcript or board with anyone through a View only, Can comment or Can edit link, collect guest comments, and revoke a link at any time.
A share link lets someone outside your team open a design, document, transcript or board without signing in. It’s the easiest way to show a client a draft or collect their feedback without adding them to your brand.
Each link has one of three permissions:
- View only: they can look, but not change anything.
- Can comment: they can also leave comments on a design, document or board.
- Can edit: they can change the content.
Anyone with the link can open it, so only send it to people you trust. You can Revoke a link at any time, and it stops working straight away.
Teammates in your brand don’t need a share link. Send them the item’s normal link instead, for example with Copy Link in a design’s ⋮ menu. It opens the item for people who are signed in and in the brand.
Quick start (5 minutes)
- Open a design in the design editor.
- Click the ⋮ menu at the top right.
- Click Share. The Share links panel opens.
- Next to Can comment, click Create link. You’ll see Link created.
- Click Copy link. It shows Copied.
- Paste the link into an email or message to your client.
Your client opens the link, types their name and leaves comments. They show up in the design’s Comments tab.
Find Share for each type of content
| Content | Where to find Share |
|---|---|
| Design | In the design editor, the ⋮ menu at the top right, then Share |
| Document | In the document, the ⋮ menu, then Share |
| Transcript | In the transcript editor, the ⋮ menu at the top, then Share |
| Board | On the board, open the main menu (top left), then Generate public link |
Ideas, marketing emails, blogs and AI Design requests can’t be shared with a link.
Anyone in the brand can create and copy share links, and revoke the links they created. Only the brand’s Owner and Admins can revoke a link someone else created or change a link’s expiry. The panel shows who created each link, and Revoke is greyed out on other people’s links if you’re a Member.
Choose a permission
What a guest can do depends on the permission and the type of content:
| Content | View only | Can comment | Can edit |
|---|---|---|---|
| Design | See and download the design | Also leave comments | Also edit the design |
| Document | Read it and Export to PDF | Also leave comments | Also edit the text |
| Transcript | Read the script and Download it | Same as View only | Edit the scenes and Download |
| Board | See the board | Also leave comments | Also edit the board |
Guests can’t comment on transcripts. For a transcript, a Can comment link works like View only.
Edits a guest makes with a Can edit link save straight to your content, the same as a teammate’s edits.
Example: a print shop sends a View only link to a customer to check a flyer, a Can comment link to the customer’s marketing lead, and a Can edit link to the freelance designer finishing it.
Create and copy a link
- Open Share for your design, document, transcript or board (see the table above).
- The Share links panel lists View only, Can comment and Can edit.
- Next to the permission you want, click Create link. You’ll see Link created.
- Click Copy link next to it. It changes to Copied for a moment.
- Paste the link wherever you like: an email, a text message, a chat.
Each item has at most one active link per permission. If a link already exists, the panel shows Revoke and Copy link instead of Create link. Copy the same link again whenever you need it.
The note at the bottom of the panel is a reminder: “Anyone with a link can open this design without signing in. Revoking stops a link immediately.”
What guests see
When a guest opens your link:
- They don’t need an Orsa account or a password.
- A bar at the top shows the Orsa logo and a label: View only, Can comment or Can edit. On a transcript’s Can comment link the label says View only, because guests can’t comment on transcripts.
- Log in and Sign up buttons are there in case they want their own account.
- They only see the item you shared. They can’t see the rest of your brand.
A design opens in a simplified editor. With every permission, guests can download the design from the bar at the top. With Can comment the Comments tab opens. With Can edit they also get the editing tools, and changes save as they work.
A document or board with a Can comment or Can edit link shows a comments panel on the right.
Guest comments on a design, document or board
With a Can comment or Can edit link, guests comment from the Comments tab on a design, or the comments panel on a document or board:
- They type their name in Your name, like Maria.
- They write in Write a comment….
- They click Post comment.
To reply to a comment, they click Reply under it. The box shows Replying to name, and the button says Post reply.
In the item’s comments, a guest’s comment shows their name with (guest) after it, like Maria (guest). If they leave the name blank, it shows Guest. The browser remembers the name for their next comment.
Good to know:
- Guests can see the item’s comments, except resolved ones, including the element and page chips your team added on a design.
- Guests can’t react, resolve, edit or delete comments. The brand’s Owner and Admins can delete a guest’s comment.
- Guest comments don’t send notifications. Check the item’s comments or the Unread Comments widget on Home.
- Guest comments can be up to 5,000 characters.
Revoke a link
Revoke a link when the person no longer needs it, or if it was sent to the wrong person.
- Open Share for the item.
- Next to the link’s permission, click Revoke. You’ll see Link revoked.
Members can only revoke links they created. To revoke a teammate’s link, ask an Owner or Admin.
The link stops working immediately. Anyone who opens it sees This share link is no longer active.
To share again, click Create link. You get a new link with a different address. The old one stays switched off.
Revoking doesn’t remove anything a guest already did. Their comments and edits stay.
Download a transcript from a share link
Guests can download a shared transcript’s script as a PDF.
- On a View only or Can comment link, they click Download in the bar at the top.
- On a Can edit link, they click the ⋮ menu, then Download.
The button shows Downloading… while the file is prepared. If the transcript has no scenes yet, there’s nothing to download.
Ideas for using share links
Client feedback without an account. Send a Can comment link for each design in a campaign.
Example: a freelancer finishes five Instagram posts for Greenleaf Café. She sends the owner a Can comment link to each one. The owner types Tom and pins notes like “Swap this photo for the latte art one.” The freelancer sees Tom (guest) in Comments and makes the changes.
Let a video editor follow the script. Share a transcript as View only so the editor can read and download it.
Example: a gym sends its video editor a View only link to the Reel script. She clicks Download and works from the PDF.
Bring in a freelancer for one job. Send a Can edit link instead of inviting them to your brand. Revoke it when the job is done.
Example: a bakery sends a Can edit link to a copywriter for one blog document. When it’s finished, the owner clicks Revoke.
Tips for the best results
- Pick the lowest permission that works. Use View only for “have a look” and Can comment for feedback. Keep Can edit for people you’d trust in your brand. Remember that guests can download a shared design with any permission.
- Ask guests to type their name. Otherwise their comments just say Guest, and you won’t know who said what.
- Check Comments yourself. Guest comments don’t send notifications.
- Revoke links when a project ends. A link works until you revoke it.
- Send links privately. Anyone who gets the link, even by forwarding, can open it.
- Use Copy Link for teammates. People in your brand get the full editor and their comments are notified as usual.
Common questions
The guest sees “This share link is no longer active.” Someone revoked the link. Create a new one and send it again.
The guest sees “Invalid share link.” The address is incomplete or mistyped. Copy the link again with Copy link and resend it.
The guest sees “The shared asset no longer exists.” The design, document, transcript or board was deleted.
My client can’t comment on a document I shared. Guests can only comment on designs. On documents, transcripts and boards, a Can comment link is view only. Ask them to reply by email, or invite them to your brand. See Inviting Your Team.
Why does my Can comment link say View only at the top? The label shows whether the guest can change the design. They can still comment in the Comments tab.
I clicked Create link but got the same link as before. Each item has one active link per permission. To get a new address, Revoke the link first, then click Create link. Getting the existing link never changes its expiry; only Owners and Admins can do that.
Revoke is greyed out for me. Someone else created that link. Only the brand’s Owner and Admins can revoke other people’s links.
Do guests count as members or use a seat? No. Share links don’t add anyone to your brand or your plan.
Can I see who opened a link? No. Comments show the name a guest typed, but Orsa doesn’t list who opened a link.
Can I share an idea or a marketing email? Not with a share link. Share links work for designs, documents, transcripts and boards. To show someone an idea, invite them to your brand.
I can’t delete a guest’s comment. Only the person who wrote a comment can delete it. Click Resolve to move it out of the main list.
