Timeline — Launches, Events and Dates to Plan Around
Add your brand's launches, events, milestones and repeating dates to the Timeline, see them on the Calendar, and let Orsa AI plan posts around what's coming up.
The Timeline is your brand’s list of dates that matter: launches, events, sales, milestones and things that happen every week, month or year. You add each one as an entry.
- Your plans in one place. Everyone on the brand sees the same list of what happened and what’s coming up.
- It shows on your Calendar. Entries appear as a Timeline layer on the Organize Calendar, so you can plan posts around them.
- Orsa AI can plan around it. When you ask Orsa AI for ideas or a plan, it can look at entries coming up in the next six weeks.
You’ll find it under Timeline in the sidebar, or on the Timeline tab at the top of any brand page. During setup, you need at least one entry. See The setup checklist.
Quick start (5 minutes)
- Open the Timeline.
- Click Add Entry.
- Type a Title, like Summer menu launch.
- Pick a Start Date.
- Add a Description with the details Orsa AI should know, like New cold drinks and three salads. 10% off the first week.
- Click Add Entry at the bottom.
Example: a bakery adds Grand reopening, Entry Type Event, Start Date 14 June, End Date 16 June, Description Free coffee with any pastry all weekend. New seating area at the back.
Add or edit an entry
- Click Add Entry at the top right. (On an empty Timeline, you can also click Add your first entry.)
- Fill in Add Timeline Entry:
- Title: the name of the date, like Black Friday sale. Required.
- Entry Type: optional. Any word you like, such as Launch, Campaign, Milestone, Event, PR or Seasonal. It becomes a filter on the page.
- Start Date: the day it starts. Required.
- End Date: optional. Use it for something that lasts several days, like a week-long sale.
- Recurrence Type: how often it happens. See Repeating entries.
- Description: what happened or what’s planned. Write what Orsa AI should know: offers, products, who it’s for.
- AI Visibility: see AI Visibility.
- Click Add Entry. You’ll see “Timeline entry created”.
If the title or start date is missing, you’ll see “Title and start date are required”.
Edit an entry: hover over it and click the pencil icon. Change what you need and click Update Entry.
Delete an entry: hover over it and click the bin icon, then Delete. This can’t be undone.
Repeating entries
Pick a Recurrence Type for dates that come back:
| Recurrence Type | Also pick | Good for |
|---|---|---|
| One Time | Nothing | A launch, an event, a one-off sale |
| Daily | Nothing | A daily happy hour |
| Weekly | Day of Week | Taco Tuesday every Tuesday |
| Monthly | Day of Month (1-31) | A pay-day offer on the 1st |
| Yearly | Nothing. It repeats on the Start Date’s day and month | Your anniversary, a yearly festival |
For any repeating type, you can also set a Recurrence End Date. The entry stops repeating after that day. Leave it empty to repeat forever.
Example: a gym adds Free trial Friday, Recurrence Type Weekly, Day of Week Friday, Start Date 1 March, Recurrence End Date 31 May.
Good to know:
- Weekly needs a day, and Monthly needs a day of the month. The entry won’t save until you pick one.
- Monthly on the 29th, 30th or 31st skips months that don’t have that day, on the Calendar, in the entry’s next date and in what Orsa AI and AI generation see. Pick the 28th or earlier if it should happen every month.
- End Date is for one-time entries. On a repeating entry, use Recurrence End Date instead.
Add your brand anniversary
Until your Timeline has an anniversary, you’ll see a box called Add Your Brand Anniversary. It suggests a yearly entry:
- Click Add Anniversary. The form opens with the title Brand Anniversary, the type Anniversary and Yearly already filled in.
- Check the Start Date: the day your business was founded, like 12 April 2016. It’s filled in from Date established on your Info tab, if you’ve set it.
- Click Add Entry.
The box goes away once any entry has “anniversary” in its title or type. Click Dismiss to hide it in this browser.
AI Visibility
Each entry has an AI Visibility setting:
- Public — AI can reference: the default. The entry shows an AI aware badge in the list.
- Internal — Context only: Orsa AI still sees the entry, marked as background context it must not mention in content.
Orsa AI follows the Internal mark, but it’s an instruction, not a lock. Don’t put anything in a Timeline entry that must never reach a suggestion.
Find entries on the Timeline page
Entries are grouped by year, newest year first. Click a year to fold it away or open it again. A repeating entry shows its next date, marked Next.
The cards at the top count your entries and also work as filters. Click one to show only those entries, and click it again to show all:
- Total entries: everything.
- Active now: entries with an End Date that are happening today.
- Upcoming events: entries that start in the future, and repeating entries that still have a next date.
- Recurring events: every entry that isn’t One Time.
- Past milestones: one-time entries whose start date has passed.
Below the cards:
- Search timeline… finds entries by title or description.
- All, One-time, Daily, Weekly, Monthly and Yearly filter by how often the entry repeats.
- Type: shows a button for each Entry Type you’ve used.
Timeline entries on the Calendar
Your entries also appear on the Organize Calendar as all-day items:
- One-time entries with an End Date stretch across every day they last.
- Repeating entries show on each day they happen.
- Click the Timeline button above the Calendar to hide or show them. It appears in months that have at least one entry and shows how many.
You can’t drag Timeline entries to another day on the Calendar. You’ll see “Timelines cannot be moved”. Change the date on the Timeline tab instead. See Calendar.
How Orsa AI uses your Timeline
Orsa AI doesn’t read your whole Timeline in every chat. When it needs to know what’s coming up, for example when you ask for ideas for next month, it looks up entries that happen in the next six weeks, including each upcoming repeat of a repeating entry. It gets each entry’s title, description, type, dates, how often it repeats and its AI Visibility. Orsa AI’s Content Idea Creator specialist checks these dates every time it suggests ideas.
Example: you ask Orsa AI “What should we post in the next few weeks?” Your Summer menu launch starts in 12 days, so Orsa AI can suggest a teaser post, a launch-day post and a “first week offer” reminder.
Repeats count: a Yearly anniversary that started in 2016 shows up as coming up on this year’s date, and a Weekly entry shows up on each of its days in the window. A Daily entry shows up once.
The AI assistants inside the Design, Document, Transcript and Marketing Email editors don’t look up the Timeline themselves, and neither does AI design or blog generation. For date-driven ideas, ask Orsa AI from the Ideas board. See Meet Orsa AI.
Ideas for using the Timeline
Launches and sales. Add every launch and sale with an End Date and a description of the offer.
Example: a clothing shop adds Spring collection drop, Start Date 3 March, Description 12 new pieces, linen and pastel colors. Online first, in store from 5 March.
Weekly regulars. Add the things you post about every week, so the whole team sees them on the Calendar.
Example: a café adds Live music night, Weekly on Thursday, Entry Type Event.
Your story so far. Add past milestones, like opening a second location or winning an award. They give your team a shared history to draw on.
Example: a physio clinic adds Opened second clinic in Northside, Start Date 9 September 2024, Entry Type Milestone.
Tips for the best results
- Write a real description. “Launch” tells Orsa AI nothing. “New vegan range, 6 products, 15% off launch week, aimed at young families” gives it something to work with.
- Add dates early. Orsa AI looks six weeks ahead. Add a launch at least six weeks before it happens, so Orsa AI can suggest teasers.
- Use the same Entry Type words every time. Launch, launch and Product release each make their own filter button. Pick one spelling and stick to it.
Common questions
I clicked Add Entry and nothing was saved. Check for the “Title and start date are required” message. Fill in Title and Start Date and try again.
My weekly or monthly entry doesn’t repeat on the Calendar. Edit the entry and pick a Day of Week (for Weekly) or a Day of Month (for Monthly). For a monthly entry on the 29th–31st, it skips months without that day.
Orsa AI didn’t mention my anniversary or weekly event. Orsa AI only looks six weeks ahead, and only when it needs upcoming dates. Check the entry isn’t set to Internal, and ask Orsa AI about the coming weeks directly.
I set an entry to Internal, but Orsa AI still mentioned it. Orsa AI is told not to mention Internal entries, but it can slip. Remove the mention from the draft, and leave out anything that must never come up.
I can’t move a Timeline entry on the Calendar. Timeline entries can’t be dragged. Open the Timeline, edit the entry and change its date.
The Add Your Brand Anniversary box won’t go away. Click Dismiss to hide it in this browser. It also disappears once an entry has “anniversary” in its title or Entry Type.
Add Anniversary didn’t fill in my founding date. It uses the Date established on your Info tab. If that’s empty, pick the Start Date yourself before you click Add Entry.
How do I see all repeating entries at once? Click the Recurring events card.
